Summer is a time for clarity and fresh starts—and that applies to your disability claim, too. If your inbox is overflowing with emails from medical providers, employers, and the Social Security Administration (SSA), now's the perfect time to clean it up and create a system that works for you.

Why does this matter? Because buried in those emails are time-sensitive updates, key documents, and communication that can help—or hurt—your case. Staying on top of it shows you're serious, organized, and ready to respond quickly.

Step 1: Set Up Folders in Your Email Account

Create separate folders in your email labeled SSA, Medical, Employer, and Legal. Most email providers like Gmail, Outlook, and Yahoo make this easy. As emails come in, move them into the correct folder right away. If you're starting fresh, take 15 minutes each week to move a few older emails into the correct folders.

Step 2: Use Flags, Stars, or "Important" Labels

Emails from the SSA or your doctor about appointments, requested records, or case updates should be flagged or starred immediately. This makes them easier to find when you're under pressure. Set your inbox to show flagged emails at the top, so nothing critical gets buried.

Step 4: Back It Up

Forward key emails to yourself with subject lines like "IMPORTANT – Dr. Smith – June 2025 Update." Save attachments to your computer and organize them in digital folders that mirror your email. Even if you switch phones or lose access to your email, you'll still have what you need stored securely.
